Responsibilities:

  • Perform general office duties such as answering the phone responding to general inquiries, sorting, and distributing incoming and outgoing mail, filing, ordering office supplies and office equipment maintenance

  • May manage hiring, termination, evaluation, and counselling of personnel and maintain employee records. May review and approve timecards for all staff, act as liaison to HR department

  • Manage the efficient processing of laboratory casework including handling inbound calls, pick-up/receiving, scheduling, billing/invoicing, and on-time delivery of cases

  • Use Magic Touch and Intacct systems and remain up-to-date though seminars, research, and representatives

  • Control administrative Quality Assurance standards to ensure efficiency and identify training opportunities

  • Ensure compliance with OSHA regulations, including timely accident reporting and assurance that mandatory safety measures are being followed

  • All other duties as assigned by the Lab Manager or as otherwise required

Qualifications:

  • Knowledge of dental lab products, materials, and techniques preferred

  • Basic computer knowledge with ability to learn new programs

  • High level of attention to detail and exceptional organizational skills

  • Strong interpersonal, verbal, and written communication skills

  • Highly motivated with the ability to quickly learn procedures and products

  • Exceptional customer service skills

  • Maintain clean equipment and work area

  • High School diploma or equivalent required

We are looking for a determined, high-energy, well-organized individual for the position of Production Coordinator to join our team in Livermore, California.

Primary Responsibilities & Skills:

  • Responsible for the data entry for incoming cases

  • Liaison between departments by communicating delivery requirements of cases

  • Monitor case flow of certain assigned products by reviewing target dates at each stage

  • Support the Technical Services Reps by completing paperwork changes, case scheduling, following up on long term hold cases, and calling doctors for service related items

  • Ensures excellent customer relations by handling doctor’s complaints within a 24 hour period

  • Responsible for taking care of special requests from Technical Support, Dental Services or Doctor’s regarding cases in production

  • Bills for services by making any changes to case entry that are required; billing doctors for cases that are ready to ship; attaching and reviewing invoices; bringing cases to shipping after billing; shipping cases past shipping cut-off time

  • All other duties as assigned or as otherwise required

Qualifications:

  • Prior dental office or lab industry experience preferred

  • Highly motivated, detail oriented, well-organized professional with strong interpersonal, verbal and written communication skills

  • Self-starter with ability to multi-task, prioritize and complete multiple projects accurately and on time with minimal supervision

  • Must be able to integrate directions quickly and react with a high sense of urgency

  • Ability to be effective and flexible in stressful situations (i.e., unexpected problems, tight deadlines)

  • Able to work well in a team environment and interact effectively within the laboratory and outside contacts

  • Knowledge of MS Office Suite, including Excel, Word, and Outlook

  • High School Diploma or Equivalent Required

Pay: $18.00 - $20.00 per hour
